Ensuring Your Data Stays Safe: How We Secure Client Information

By Janita Kapoor

At dot, we understand the critical importance of data security.  As a trusted partner to accounting firms, we handle sensitive and confidential client information on a daily basis. We take our responsibility to safeguard this data very seriously.  That’s why we’ve implemented a comprehensive data security program that utilizes the latest technologies and best practices.

Multiple Layers of Protection

Rigorous Login Procedures: All team member devices require multi-factor authentication, ensuring only authorized personnel can access client data.
MFA goes beyond just a password. It adds an extra step, like a code from an authenticator token, to verify team members’ identity. This ensures that even if someone obtains the password, they cannot access the device and the sensitive information it holds.
Our workflow management software, dotKris also requires MFA to log in, which is a code unique to every user.
This multi-layered approach significantly reduces the risk of unauthorized access and safeguards data, keeping it protected from potential breaches.

Secure Cloud Environment: We do not allow work to be done on local machines. Instead, a secure cloud platform, hosted on UK servers, is used for all tasks. This platform restricts users from copying or downloading any information. We even have real-time alerts for attempted downloads or copies, so we can address any potential issues immediately.

Data Security and Privacy Training: Our staff undergoes extensive training on data protection (GDPR) and anti-money laundering (AML) protocols. This training covers critical areas like data privacy regulations, data breach response procedures, suspicious activity identification for AML, and reporting requirements. Our commitment to data security is ongoing, with regular updates to training materials, Q&A sessions to address questions and emerging best practices, and access to additional resources to empower our staff to stay informed and vigilant.

Additional Security Measures

Strict Social Media and Mobile Device Policies: Clear policies are in place to prevent any accidental data leaks through social media or unauthorized mobile device usage.

Professional Indemnity (PI) and Cyber Insurance: We have robust PI and cyber insurance coverage to further mitigate any potential risks.

By implementing these robust security measures, we strive to provide our clients with complete peace of mind.  They can be confident that their sensitive information is always protected at dot.
